Small Group Memberships

CONTRACT

Small Group Memberships are auto-renewing 4-week contracts. Your account will be charged every 4 weeks on a recurring schedule. Payments keep your membership active and maintain your access to train, up to your plan’s booking capacity within each 16-week term. This is a recurring membership, not the purchase of a prepaid package of sessions.

Termination

To terminate your membership, you must provide bStrong with written notice at least 14 days before the desired cancellation date. The Cancellation Form is available at Membership Cancelation Form — bStrong Personal Training.

Membership Structure

Billing and Membership Term: Your membership is billed every 4 weeks on a recurring schedule. Zen Planner organizes your membership as a 16-week term for scheduling purposes. You may cancel your membership at any time with at least 14 days’ written notice before your next billing date. 

Training Capacity: While your membership is active and payments are current, you may train up to the following booking capacity within each 16-week term:

  • 1x/week membership: Up to 17 workouts per 16-week term

  • 2x/week membership: Up to 34 workouts per 16-week term

  • 3x/week membership: Up to 51 workouts per 16-week term

This is a recurring membership, not a prepaid pack of sessions. Your payments keep your membership active and maintain your access to train up to your plan’s capacity during each 16-week term.

How Zen Planner Displays Your Membership
Zen Planner may display your capacity as “classes” or “sessions.” This is simply how the software tracks booking capacity inside your active term and does not mean you purchased a prepaid package.

Booking Management and Cancellation: You are responsible for scheduling and managing your workouts through Zen Planner (app or browser).

  • If you need to cancel a workout, you must do so at least 2 hours before the scheduled start time in Zen Planner (not by phone, email, or text).

  • Workouts that are late-canceled (under 2 hours) or no-showed count toward your term capacity and cannot be rescheduled.

Term Structure and Renewal: Your booking capacity applies only to your current 16-week term. When a term ends (or your membership ends), that term closes. If your membership continues, a new term begins with fresh capacity.

  • Unused training opportunities from a term do not carry forward into future terms.

  • Your 4-week billing schedule runs independently from how often you train and does not pause so you can “catch up” on workouts. Billing only changes if you place an approved hold or cancel your membership in line with our notice policy.

  • Unused workouts cannot be refunded, transferred, or used to prorate, reimburse, or discount future membership payments.

Extra Training and Membership Adjustments

Training Capacity Limits
Your booking capacity applies only within your current 16-week term. While your membership is active and payments are current, you may train up to your plan’s capacity during that term:

  • 1x/week: up to 17 workouts per 16-week term

  • 2x/week: up to 34 workouts per 16-week term

  • 3x/week: up to 51 workouts per 16-week term

Any unused training opportunities from a term do not carry forward when the term ends.

Membership Adjustments
Your membership cannot be paused, downgraded, or canceled in order to “use up” remaining capacity. Unused capacity:

  • does not transfer to a new membership or membership type

  • cannot be used to prorate, reimburse, discount, or otherwise adjust membership fees

  • does not change your billing schedule (billing continues every 4 weeks regardless of usage)

How to adjust your schedule

  • Cancel your original workout in Zen Planner (app or browser).

    • Reminder: cancellations must be made at least 2 hours before the start time.

  • Book your new workout in Zen Planner (no walk-ins).

    • You can book into any open spot you see in the schedule.

    • Workouts can be booked up to 1 week in advance.

  • If you have a guaranteed weekly timeslot and want to switch days/times, cancel the workout you’re replacing first so Zen Planner frees up your booking capacity.

HOLDS 

Short-Term Breaks

If you’re taking a short break (travel, busy week, not feeling great, etc.), you can manage it by adjusting your schedule in Zen Planner:

  • Cancel any workout you can’t make in the Zen Planner app (at least 2 hours before start time).

  • Book another available time within your current 16-week term, as long as you’re within your plan’s booking capacity.

We use 16-week terms to give you flexibility across the term (train lighter during busy weeks, then ramp up when your schedule opens up). When a term ends, that term closes and we start fresh with a new term. Unused training opportunities do not carry forward.

  • How much notice is required? Cancel at least 2 hours before the workout start time (in Zen Planner).

  • How often can I do this? As often as you want, as long as you stay within your current term booking capacity.

  • Will I lose my pre-booked timeslot? No. Canceling a workout doesn’t remove your guaranteed timeslot.

  • Fee? None.

  • What form do I need? None. Just adjust your schedule in Zen Planner (app or browser).

Membership Hold (up to 4 weeks)

You may place your membership on hold for up to 4 weeks and keep your recurring timeslot.

  • Holds of up to 2 weeks: no fee

  • Holds of more than 2 weeks (up to 4 weeks): $50 + tax hold fee to reserve your recurring timeslot (charged on the first day of the hold)

Holds are limited to one hold every 6 months of membership.

  • How much notice is required? At least 1 week in advance

  • Maximum length? Up to 4 weeks

  • How often can I use this hold? Once every 6 months

  • Will I lose my pre-booked timeslot? No, your recurring timeslot is reserved during the hold

  • Fee? No fee for up to 2 weeks. $50 + tax for 2–4 weeks (charged at the start of the hold)

  • What form do I need? Here

Membership Extended Hold (up to 3 months)

For holds longer than 4 weeks, you may place your membership on an extended hold for up to 3 months. There is no fee, but we cannot reserve or hold your recurring timeslot during an extended hold.

A return date is required. We’ll check in about 1 week before your return date to share current availability and help you get back on the schedule.

  • How much notice is required? At least 1 week in advance

  • Maximum length? Up to 3 months

  • Will I lose my pre-booked timeslot? Yes, recurring timeslots are not held during an extended hold

Membership Cancellations

If you return in the future, current membership rates in effect at the time of reactivation will be applicable as rates are subject to change.

CHANGING MEMBERSHIPS

Membership changes (for example, moving from 3x/week to 2x/week) require at least 2 weeks’ written notice before your next billing date.

If you downgrade, unused training opportunities from your current term do not carry forward. Your new plan begins with fresh booking capacity at the lower frequency. You may also need to choose a new schedule (for example, move out of a Mon/Wed/Fri slot and into a Tue/Thu slot). You can find the form [here].


REMINDER ON CONTRACT TERMINATION
